Event Planning Checklists

Simple, printable checklists for 13 kinds of Indian occasions, from birthdays and weddings to sacred rituals and corporate events. Each one is arranged by how long before the day a step is due.

Why we made these lists

The Photograph We Never Took

My daughter’s first birthday was celebrated by our family at Hotel Maurya Patna, one of the most premium hotels in our city. We spent generously, and nothing was spared: two beautiful, well-decorated halls for our guests, good food, a cake and the people we love most, all gathered around one small girl.

Yet in all that planning, nobody remembered to book a photographer or a cameraman.

There is no proper record of that evening: no picture of her first cake, no video of her grandparents holding her, no family photograph of the day she turned one. We spent well on the celebration and left out the one thing that would have kept it with us for a lifetime.

Even today, I find it hard to believe that we forgot something so important. It was not for lack of love or effort. Everyone was busy with the halls, the food and the guests, and there was no list in front of us and no one whose job was to ask, “Who is capturing this?”

A checklist would have asked that question for us. That is why we made these lists: so the moments that matter most are not left to memory alone.

Choose your occasion

Birthdays and family celebrations

For the happy milestones of family life.

Weddings

From the first family meeting to the Vidaai.

Handled with special care

Sacred rituals and ceremonies

Rituals carry faith, family memory and tradition, so they deserve the most care. Hindu, Sikh, Jain, Buddhist, Muslim and Christian ceremonies, and every region and family, follow their own customs. Always follow your pandit, priest, granthi or elders on the rites themselves; these lists help with the arrangements around them, so the family can give its full attention to the ceremony.

Corporate and professional events

For conferences, annual days and team trips.

Checklist questions

What should be on an event planning checklist?

Every checklist should cover the budget, date, guest list, venue, food, decoration, the people running each ritual or programme, photography and video, invitations, guest travel and stay, and who to call on the day. The lists here arrange these by time before the event.

Which arrangement do families most often forget?

Photography. Families often spend on the venue, food and decoration and forget to book a photographer or videographer, and the day cannot be recorded again later. Book the photographer as early as the venue.

Are my ticks saved?

Your ticks are kept only in this browser on this device, so you can come back to a checklist later. Nothing is sent to GI.EVENTS. Clear ticks removes them.

Every occasion is different. If yours is not here, or you would like help with any step, tell us about your event or write to events@gestureindia.in. For beverages, please read our alcohol policy.
